Personal Identification Number (PIN) Terms and Conditions

Published on 07 April 2026

A Personal Identification Number (PIN) will be issued directly by Practitioner Services to dentists who have an NHS Scotland dental list number and require access to eDental for the submission and management of NHS dental claims. The pin number is for the individual dentist who is listed on the NHS Board list to use and cannot be mandated from the listed dentist to the practice, even if bank mandates or local contracts exist relating to financial arrangements between the dentist and the practice.

This PIN should never be shared with or made known to anyone other than the user it is allocated to. It is used by the system as an ‘electronic signature’, equivalent to a hand-written signature on a hard copy. Each claim constitutes a legal document, and the confidentiality of PIN numbers should be protected accordingly.

You must ensure that any electronic system or device that you are using does not store or retain your PIN number. Your PIN number is your electronic signature and must be entered by you on each occasion that it is requested.

With every claim that you submit using your PIN, you are declaring that:

  • The claim submitted is correct and complete;

  • You take full personal and legal responsibility for the accuracy and validity of that claim; and

  • You are claiming payment for work carried out in accordance with the NHS (General Dental Services) (Scotland) Regulations.

Misuse of a PIN, or the submission of inaccurate or incomplete claims, may result in action being taken against you, the dentist, and/or the contractor in line with the applicable NHS regulations.
